The HR/Admin Manager is responsible for overseeing all aspects of human resources, performance management, budget management, and administrative functions within the organization. This role involves developing and implementing HR strategies, managing employee relations, ensuring compliance with labor laws, overseeing office operations, managing organizational budgets, and handling vehicle and office management. The HR/Admin Manager serves as a key point of contact for all employees, providing guidance, support, and ensuring a productive and legally compliant work environment.
Key Responsibilities:
Human Resources Management:
- Develop and implement HR policies and procedures in alignment with organizational goals.
- Manage recruitment and selection processes, including job postings, interviewing, hiring, and onboarding.
- Coordinate employee training and development initiatives to enhance skills and career growth.
- Handle employee relations matters, including conflict resolution, disciplinary actions, and grievance handling.
- Ensure compliance with labor laws, regulations, and internal policies.
- Administer employee benefits programs, including health insurance, retirement plans, and leave management.
- Support organizational change initiatives and manage communication to ensure employee engagement.
Performance Management:
- Develop and implement a comprehensive performance management framework to ensure alignment with organizational objectives.
- Oversee the performance management process, including setting performance objectives, conducting regular performance appraisals, and managing employee development programs.
- Provide guidance and training to managers and employees on performance management best practices.
- Analyze performance data to identify trends and areas for improvement and recommend appropriate actions.
Administrative Management:
- Oversee the day-to-day administrative operations of the office, including facilities management, procurement, and vendor management.
- Manage office supplies, equipment, and resources to ensure efficient and cost-effective operations.
- Coordinate and support the organization of company events, meetings, and employee engagement activities.
- Ensure the office environment is safe, well-maintained, and conducive to productivity.
- Develop and implement administrative policies and procedures to improve operational efficiency.
Budget Management:
- Develop and manage the HR and administrative budget, ensuring cost control and efficient allocation of resources.
- Monitor budget performance, track expenses, and prepare financial reports for senior management.
- Identify opportunities for cost savings and recommend adjustments to the budget as needed.
- Ensure all expenditures are compliant with organizational policies and procedures.
Vehicle and Office Management:
- Oversee the management and maintenance of company vehicles, ensuring they are in good working condition and compliant with regulations.
- Develop and enforce policies related to the use of company vehicles, including scheduling, maintenance, and fuel management.
- Manage office space planning, including seating arrangements, office relocations, and any required refurbishments.
- Coordinate with external vendors for office repairs, maintenance, and service contracts.
Compliance and Legal:
- Ensure the organization’s compliance with all applicable labor laws and regulations.
- Prepare and submit statutory reports and filings in a timely manner.
- Maintain up-to-date knowledge of labor legislation and adapt policies accordingly.
- Liaise with legal advisors on matters related to employment contracts, employee disputes, and other HR legal issues.
Payroll and Compensation Management:
- Oversee payroll administration, ensuring timely and accurate payment of salaries and benefits.
- Manage compensation structures, salary reviews, and ensure alignment with industry standards.
- Conduct regular market surveys to benchmark compensation and benefits packages.
Employee Engagement and Culture:
- Develop and implement initiatives to foster a positive organizational culture and promote employee engagement.
- Manage employee communication channels, including newsletters, announcements, and employee feedback mechanisms.
- Organize and promote employee wellness programs, diversity and inclusion initiatives, and team-building activities.
Reporting and Analysis:
- Prepare regular HR and administrative reports for senior management, including headcount, turnover, performance metrics, and other key indicators.
- Conduct data analysis to identify trends and make data-driven decisions to improve HR and administrative functions.
- Present reports and recommendations to senior management for strategic planning.
Leadership and Team Management:
- Lead and mentor the HR and administrative teams, ensuring continuous development and alignment with organizational goals.
- Foster a collaborative and inclusive team environment, promoting a culture of accountability and excellence.
- Manage departmental budgets and ensure efficient allocation of resources.
