Job Summary
The Administrative Officer with an IT background is responsible for providing efficient administrative support while also leveraging their IT skills to enhance operational systems, provide basic IT support, and ensure the smooth functioning of office technology. The role includes managing daily administrative tasks, maintaining office systems, and assisting in the coordination of IT-related processes.
Key Responsibilities:
Administrative Duties:
Office Management:
- Handle day-to-day administrative operations, including managing office supplies, filing systems, and scheduling appointments.
- Maintain office records and ensure proper documentation of official activities.
Communication:
- Respond to inquiries from staff, clients, and external partners in a professional manner.
- Coordinate internal and external communications such as emails, letters, and phone calls.
Meeting and Event Coordination:
- Schedule and organize meetings, conferences, and company events.
- Prepare meeting agendas, take minutes, and ensure follow-up on action points.
Support to HR & Management:
- Assist in employee onboarding and maintain staff records.
- Provide administrative support to management and various departments as needed.
IT Duties:
Technical Support:
- Provide basic troubleshooting and IT support to staff for software, hardware, and network issues.
- Manage user accounts, email configurations, and software installations.
Data Management:
- Ensure the security and proper organization of company databases and files.
- Regularly back up important data and maintain data recovery protocols.
Systems Administration:
- Help in the maintenance of office IT infrastructure, including computers, printers, and networking devices.
- Coordinate with external IT service providers for higher-level support when needed.
Technology Enhancements:
- Assist in the implementation of new software tools or systems to improve office efficiency.
- Train staff on basic IT skills and best practices for using office software and tools.
General Responsibilities:
Policy Compliance:
- Ensure adherence to company policies, procedures, and legal regulations.
Report Preparation:
- Prepare and present reports on administrative activities and IT issues as required by management.
Inventory Management:
- Maintain an inventory of office equipment and IT tools, ensuring timely repairs, upgrades, or replacements.
Budgeting & Procurement:
- Assist in the procurement of office supplies and IT equipment, while managing the administrative budget.
