Job Summary
The Compliance Officer ensures that all manufacturing operations comply with ISO 9001:2015 requirements, statutory and regulatory obligations, and industry best practices.
This role oversees the company’s Quality Management System (QMS), manages factory certifications, conducts audits, and drives continuous improvement across all departments.
The Compliance Officer also serves as a liaison with external regulators, certification bodies, and customers on compliance-related matters.
Key Responsibilities
1. ISO 9001:2015 Quality Management System (QMS)
- Implement, monitor, and maintain the QMS in compliance with ISO 9001:2015 standards.
- Ensure effective integration of the QMS across production, quality control, maintenance, logistics, and support departments.
- Coordinate management reviews and follow-up on action items.
- Drive continuous improvement initiatives aligned with company objectives.
2. Factory Certifications & Regulatory Compliance
- Manage all regulatory and statutory certifications, including but not limited to ISO 9001, FDA, EPA, GSA, and Fire Service.
- Monitor renewal schedules for all statutory and regulatory certificates and ensure timely renewals.
- Monitor and follow ups fumigation activities in the factory.
- Act as liaison with certification bodies, auditors, and regulators during inspections, audits, and assessments.
- Track changes in relevant laws, standards, and guidelines and update company policies accordingly.
3. Audits, Inspections & Corrective Action
- Develop, maintain, and execute all internal audit schedules for ISO 9001 and other compliance areas in coordination with the Head of Quality Assurance.
- Coordinate with the head of Quality assurance, all external audits and inspections (certification, customer, and regulatory).
- Coordinate with the head of Quality assurance and document audit and/ inspections findings, develop corrective and preventive action (CAPA) plans, and ensure timely closure of non-conformities.
- Provide regular compliance reports to senior management.
4. Documentation & Record Control
- Manage controlled documents including SOPs, policies, work instructions, and records.
- Ensure document control practices comply with ISO 9001:2015 and company procedures.
- Conduct quarterly reviews of documentation for accuracy, consistency, and compliance.
- Maintain confidentiality and security of compliance-related documentation.
5. Training & Awareness
- Provide training to employees on quality management systems, compliance protocols, and regulatory requirements.
- Develop training materials and conduct refresher sessions on ISO standards, GMP, hygiene, and workplace safety.
- Foster a culture of compliance and quality awareness across all teams.
6. Risk & Change Management
- Collaborate with safety, production, and quality teams to identify and assess compliance-related risks.
- Review and approve changes impacting product quality, regulatory status, or certifications.
- Support risk assessments for new projects, processes, and equipment.
7. Health, Safety, and Environmental (HSE) Support
- Monitor compliance with occupational health, safety, and environmental requirements within the factory.
- Ensure personal protective equipment (PPE) usage and adherence to safety protocols.
- Support EHS audits and coordinate with safety managers where compliance overlaps with quality.
