Description
DUTIES
- Pre-Auditing
Assist in the pre-auditing of all intended purchases of company assets, vehicle parts and accessories before approval and payment to ensure compliance with related company polices as well as accuracy of figures.
- Revenue & expenditure transactions Audit
- Visit the Accra Workshop weekly to monitor activities in respect of fuel purchases, repairs, and servicing works to be carried out and submit weekly and monthly reports to Management through the Head of Audit and Compliance.
- Carry out weekly inspections of the following documents in the Accounts Department:
- Invoices that have been sent within the week, i.e., verify whether the approved rates have been used in the billing and confirm whether invoices were prepared and submitted on time.
- Weekly and monthly reconciliation statements prepared by the Accounts Department and report any anomaly.
- Audit the imprest returns of the Head Office and all branches daily and submit report on them.
- Verify whether all payments made went through the laid down processes and procedure before being affected.
- Audit the weekly report on receipts and payment and confirm whether proper records have been kept on them.
- Assist in monitoring and control of departmental expenditures using the weekly budgetary control reports.
- Assist in monitoring and auditing of expenditures repairs and maintenance as well as spare parts and other purchases of the Accra, Tema and Takoradi branches of the company.
- Compliance Audit
- Assist in preparing and managing approved list of prices of spare parts and their suppliers and the strict adherence to the list approved during purchases.
- Ensure that all management directives, policies and laid down procedures are complied with in the daily operational, administrative, and financial transactions of the company always.
- Assist in monitoring and ensuring compliance with the expenditure approval limits of the various approving authorities within the company.
- Evaluate business processes and relevant controls regularly to identify areas of risk and improvement opportunities.
- Fuel and lubricants consumption
You are in charge of the following:
- Monitor vehicle movement, control books such as logbooks to ensure proper control of vehicle movements and usage and thereby establish the daily kilometer run per vehicle per project.
- Monitor and check daily fuel and lubricant consumption of all company vehicles.
- Check and vet daily fuel returns and maintain an accurate database on same.
- Reconcile weekly and monthly statements on fuel and lubricant transactions with TOTAL Company and other fuel companies the Company may deal with.
- Reports
- Assist in preparation and submission of weekly and monthly reports on fuel and lubricant consumption at all stations and report to the Ag. Head of Compliance.
- Submit of weekly budgetary control reports to Management through the Head of Compliance
- Responsibility
You are responsible to the Head of Audit and Compliance Unit.
