Position Description/Job Purpose
The Head of COD is responsible for overseeing the operations related to the vetting, passport distribution, and call center processes of the biometric passport project. This includes addressing any operational challenges faced by vetting officers, optimizing superior intervention processes, ensuring there is no backlog, and managing training schedules and equipment. The Head of COD serves as the Single Point Of Contact (SPOC) for COD-related issues, ensuring that necessary reports are available to stakeholders and that all operations run smoothly.
Position Responsibilities and Duties
Distribution Management: Develop and implement a robust distribution schedule to ensure that all PACs receive their allocated passports on time.
Operational Support: Ensure vetting officers do not encounter challenges and address any sub-optimal processes in collaboration with the responsible manager.
Process Improvement: Continuously suggest and implement improvements to superior intervention processes to optimize operations.
Training Management: Develop and implement training schedules for new officials and refresher training for existing officials. Track system and process changes to update training materials and ensure training equipment is in optimal condition.
Stakeholder Management: Serve as the SPOC for COD-related issues from private parties and ensure needed reports are available to stakeholders.
Quality Assurance: Maintain high standards of quality control and ensure all processes comply with relevant regulations and standards.
Reporting: Prepare and present regular reports on COD activities, highlighting any issues and proposing solutions.
Team Leadership: Leads and manages a team of call center and distribution staff, providing guidance and support to achieve organizational goals. Works closely with vetting officers and the passport directors.
Compliance: Ensure all COD activities comply with relevant regulations and standards.
Reporting Relationships
Reports To: CEOs/Management Team
Supervises: Call Center Staff, Training Coordinators, Distribution Officers
Works closely with: Vetting Officers, Passport Directors
Location & Commitments
Location: Accra, Ghana
Commitment: Full-time at the Head Office
Working Conditions
Office environment with occasional travel to training centers.
May require extended hours to meet project deadlines and training schedules.
