Description
The Executive Assistant (EA) to the CEO plays a critical role in ensuring the smooth functioning of the executive office. The EA provides high-level administrative support, manages the CEO's schedule, coordinates internal and external communication, and serves as a key point of contact for stakeholders. This position requires exceptional organizational, interpersonal, and multitasking skills, with the ability to maintain confidentiality and exercise discretion.
Key Responsibilities:
Administrative Support:
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Draft and proofread correspondence, presentations, and reports.
- Prepare agendas, take minutes, and follow up on action items from meetings.
- Handle sensitive and confidential information with professionalism.
Communication and Coordination:
- Serve as the primary point of contact for internal and external stakeholders.
- Screen and prioritize emails, calls, and other communications for the CEO.
- Liaise with the Board of Directors, senior management, and external partners.
- Facilitate effective communication between the CEO and team members.
Project Management:
- Assist the CEO in managing key projects, ensuring deadlines are met.
- Conduct research and provide insights to support decision-making.
- Coordinate cross-departmental initiatives as directed by the CEO.
Travel and Event Coordination:
- Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
- Organize and manage events, conferences, and meetings attended or hosted by the CEO.
Office Management:
- Maintain records and filing systems for the executive office.
- Monitor budgets and expenses related to the CEO's activities.
- Manage special tasks or ad hoc projects assigned by the CEO.
Strategic Support:
- Provide insights and recommendations to streamline processes and improve operational efficiency.
- Anticipate the CEO’s needs and proactively address potential challenges.
Qualifications:
- Education: Bachelor’s degree or Masters in Business Administration, Communications, or a related field.
- Experience: Minimum of 5 years of experience in a similar role supporting C-level executives.
- Skills:
- Strong organizational and time management skills.
- Exceptional verbal and written communication abilities.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Familiarity with project management tools and CRM software is an advantage.
