Information & Communication Management- Manage the flow of information to and from the CEO in a timely and accurate manner.
- Oversee and prioritize the CEO's meetings, calls, and emails based on urgency and importance.
- Draft and respond to emails, correspondence, and document requests on behalf of the CEO.
- Prepare internal and external corporate documents, including memos, presentations, and reports.
- Act as the first point of contact for the CEO, ensuring professional communication with internal and external stakeholders.
- Conduct research and prepare policy briefings, talking points, and speech drafts for the CEO.
Calendar & Meeting Management- Manage the CEO's calendar, schedule appointments, and ensure optimal time management.
- Organize and coordinate CEO meetings, ensuring timely preparation of agendas and necessary documents.
- Take minutes during meetings (MoMs) and ensure follow-ups on action items through structured Action Taken Reports (ATRs).
- Prepare and track agendas, follow-ups, and ATRs for meetings conducted by the CEO and the Chairman.
Commercial & External Coordination- Provide strategic support to the CEO in commercial activities, including market research, report analysis, and business-related documentation.
- Represent the CEO in meetings with government agencies, business partners, and other external stakeholders when required.
- Coordinate with different departments to collect, analyze, and distribute relevant business information.
Office Administration & Support- Maintain and organize the CEO's office filing system for easy access to important documents.
- Provide administrative support and ensure smooth office operations
- Managing office & maintain accurate and up-to-date office records, including:
- Employee records
- Attendance tracking
- Filing and storage of documents
- Ensure compliance with office policies and procedures
- Provide administrative support to the CEO, including overseeing the performance of office support staff.
- Manage office supply inventory and ensure efficient office operations.
- Arrange travel, accommodation, and logistical support for the CEO and other executives as needed.
Other Responsibilities- Handle confidential matters with professionalism and discretion.
- Keep track of the CEO's immediate and long-term commitments, identifying conflicts and ensuring timely interventions.
- Monitor and ensure follow-ups on assigned tasks and deliverables from staff.
- Oversee special projects assigned by the CEO.
