JOB DESCRIPTION
Job Purpose
The Stock Assistant/Officer supports the Stock Manager in overseeing and managing inventory operations. This role ensures accurate stock handling, tracking, and documentation, contributing to efficient inventory control and smooth supply chain processes.
Duties & Responsibilities
Stock Handling and Management
- Assist in receiving and inspecting deliveries to ensure accuracy and quality.
- Log incoming and outgoing stock in the inventory management system.
- Ensure proper storage of stock in designated areas, maintaining organization and cleanliness.
- Conduct regular stock checks and physical counts to ensure inventory accuracy.
Inventory Control
- Monitor stock levels and report shortages, damages, or discrepancies to the Stock Manager.
- Assist in preparing stock level reports and updates for replenishment purposes.
- Collaborate with the Stock Manager to maintain accurate stock records and documentation.
Order Preparation and Dispatch
- Assist in preparing items for dispatch to designated locations.
- Coordinate with relevant departments to ensure timely and accurate order fulfillment.
- Verify the accuracy of items being sent out against delivery notes or requests.
Health, Safety and Hygiene Compliance
- Ensure compliance with health, safety, and hygiene standards in the storage areas.
- Maintain cleanliness and organization in all storage facilities.
- Report any safety hazards or issues related to stock storage.
Security of Inventory
- Ensure stock is securely stored to prevent theft, loss, or damage.
- Assist in maintaining records of stock movements to ensure traceability.
- Monitor access to stock areas and report unauthorized activities.
Support Function
- Assist in preparing stock for periodic audits and inventory checks.
- Provide support to the Stock Manager during peak operations or special projects.
- Perform any other duties assigned by the Stock Manager within reason and capacity.
Qualifications and Requirement
Education:
- Degree in Inventory or Supply Chain Management.
Experience:
- 2 3 years of experience in inventory, warehousing, or a similar role.
Skills and Competences:
- Strong attention to detail and organizational skills.
- Basic knowledge of inventory management systems or software.
- Physical ability to handle and move stock safely.
- Good communication and teamwork skills.
- Proficiency in basic math and record-keeping.
- Understanding of health and safety regulations related to stock handling.
Key Performance Indicators (KPIs)
- Inventory Accuracy Rate: Maintain 95% or higher accuracy during stock audits.
- Order Fulfillment Time: Ensure 100% of orders are prepared and dispatched on time.
- Stock Damage or Loss Rate: Ensure less than 1% damage or loss of inventory annually.
- Compliance with Safety Standards: Achieve 99% compliance during inspections.
