The Executive Assistant will serve as a strategic extension of the Co-Founder, a trusted right hand who brings structure, foresight, and calm efficiency to a fast-paced, ideas-driven environment connecting global policy into tangible community-based action. Executive and Administrative Support
Manage the Co-Founder’s calendar, scheduling with precision, prioritizing with judgment and strategic alignment, protecting strategic time blocks, and cascading schedule changes across projects and meetings in a proactive manner.
Anticipate needs and prepare for meetings in advance with well-structured briefs, talking points, and presentation materials.
Take meticulous notes during meetings and provide followup on action items.
Manage correspondence with discretion, filtering information thoughtfully and following up on pending matters without prompting.
Redact confidential documents and manage sensitive files with complete professionalism and data security awareness.
Manage budget requests, reconciliation and receipt tracking.
Liaise with the organizational facilities team to ensure streamlined office operations and availability of necessary resources for planned meetings and activities.
Coordinate travel logistics (flights, visas, accommodations, itineraries), ensuring efficiency and contingency readiness.
Project, Research, and Documentation
Track ongoing projects and deliverables, ensuring the Co-Founder is equipped with relevant updates and reminders.
Take clear, organized notes during meetings and translate them into actionable follow-up items.
Support the preparation of reports, proposals, and decks, leveraging tools such as Adobe Acrobat Pro, Google Workspace, Notion and relevant research methodologies as assigned.
Conduct targeted research to inform decisions, partnerships, and strategic opportunities.
Maintain meticulous filing systems and ensure documents are logically stored and easily retrievable.
Communication and Stakeholder Engagement
Serve as liaison between the Co-Founder and internal/external partners, maintaining professionalism, empathy, and tact.
Screen communications as required in order to support efficient communication and to prioritize actions and responses requiring the attention of the Co-Founder.
Craft thoughtful email responses and correspondence that reflect a professional image.
Prepare concise summaries and memos after high-level meetings and engagements.
Support the Co-Founder in maintaining healthy communication rhythms with staff, collaborators, and partners.
Draft documents based on bullet points, and proof-read documents with astute attention to detail and an understanding of organizational voice.
Digital and Technical Operations
Organise media such as photos, videos, audio and project files across media types to ensure efficient access at all times and locations, interfacing with relevant teams to ensure materials are available for use by the Co-Founder.
Manage digital workflows using tools such as Google Workspace and Dropbox.
Use Adobe Acrobat Pro and other tools to edit, annotate, and sign official documents efficiently, highlighting the documents that require attention from the Co-Founder.
Confidently manage and safeguard shared drives and sensitive documents on both personal devices and cloud storage systems.
Ensure digital organization, file backups, and version control for all Co-Founder assets.
