Description
JOB SUMMARY
To provide effective administrative and operational support to the sales function by ensuring accurate processing of export documentation, efficient coordination of local sales activities, and proper maintenance of sales records. The role is critical to ensuring smooth order fulfillment, regulatory compliance, and timely delivery of products to customers.
KEY RESPONSIBILITIES
1. Export Documentation and Compliance
- Prepare, review, and process all export documentation, including Commercial Invoice, Packing List, Bill of Lading, and Certificate of Origin.
- Ensure all export documents are accurate, complete, and compliant with applicable regulatory and international trade requirements.
- Liaise with freight forwarders, shipping lines, and customs agents to facilitate timely shipment processing.
- Monitor and track all export shipments to ensure timely delivery and proactively address any delays or discrepancies.
- Investigate and resolve documentation or shipping-related issues promptly.
- Maintain proper filing and records of all export transactions for audit and reference purposes.
2. Local Sales Administration
- Process customer orders accurately and within agreed timelines.
- Prepare and issue invoices for all local sales transactions.
- Coordinate with warehouse and logistics teams to ensure timely dispatch and delivery of goods.
- Monitor order status and ensure closure of all sales transactions.
- Maintain accurate and up-to-date records of sales orders, invoices, and deliveries.
3. Sales Support and Coordination
- Provide administrative support to the sales team to ensure efficient day-to-day operations.
- Assist in the preparation of sales reports, documentation, and relevant correspondence.
- Follow up on customer orders, deliveries, and documentation where required.
- Ensure proper documentation and record-keeping of all sales-related activities.
- Perform any other duties as may be assigned to support the sales function.
