The Office Administrator will play a critical role in enhancing the customer experience by streamlining
the ordering process and ensuring exceptional response times. This position is pivotal in managing the full cycle of sales orders—from quote creation to fulfillment. The successful candidate will be a key
point of contact for clients, providing timely updates and support throughout the order process. This role demands excellent communication skills and a proficiency in MS Office suite, with a strong command of English.
- Order Processing and Fulfillment: Manage the entire order process, including the creation and follow-up of sales quotes, as well as sales order processing and tracking until fulfillment.
- Communication: Secure shipping quotes, and proactively communicate order status updates to clients via email and preferred messaging apps (Signal, WhatsApp). Ensure that all relevant
parties are copied in communications, including the respective Account Manager.
- Support and Collaboration:
- Assist Account Managers by processing orders, maintaining client relationships, and identifying potential upselling and cross-selling opportunities.
- Assist Logistics coordinator by facilitating shipping, imports, exports, tracking an any other tasks
- Performance Metrics: Monitor and strive to improve key performance indicators such as
response times for calls, messages, and emails; number of quotes generated per week; quote conversion rate; and number of sales orders processed per week.
- Team Interaction: Participate in creating group messages on clients' preferred messaging apps, ensuring prompt and efficient communication standards are met.
