Description
- JOB PURPOSE
To coordinate and control all outbound logistics operations by ensuring timely preparation of customer orders for dispatch, availability of internal and third-party trucks, proper documentation of deliveries, effective fleet monitoring, and supervision of drivers. The role ensures that deliveries are executed safely, efficiently, and in line with company procedures.
- KEY RESPONSIBILITIES
- Order Preparation and Dispatch Coordination
- Receive approved sales orders and prepare delivery schedules in line with customer requirements and production availability.
- Coordinate with Warehouse and sales teams to ensure orders are picked, verified, and ready for loading.
- Confirm accuracy of quantities, batch details, and documentation before dispatch.
- Supervise loading activities to ensure proper handling and secure placement of goods.
- Ensure dispatch timelines are met and communicate any delays promptly.
- Truck Planning and Allocation
- Plan and allocate internal company trucks for daily deliveries based on order volume and route efficiency.
- Source and coordinate third-party transporters when internal fleet capacity is insufficient.
- Negotiate and confirm transport arrangements, ensuring compliance with agreed rates and terms.
- Maintain a transport schedule reflecting truck assignments, destinations, and delivery timelines.
- Fleet Monitoring and Control
- Monitor the movement of all trucks to ensure timely delivery to customers.
- Track vehicle utilization, fuel consumption, and trip performance.
- Relay and seek solutions delivery challenges in real time, including route issues, breakdowns, or customer concerns from the sales and supply chain heads.
- Ensure compliance with road safety and transport regulations.
- Documentation and Reporting
- Prepare and verify delivery notes, waybills, gate passes, and any other required dispatch documents.
- Maintain accurate records of dispatched goods, truck assignments, trip logs, and transporter invoices.
- Reconcile delivery documentation with Warehouse, sales and Finance records.
- Prepare periodic reports on delivery performance, fleet utilization, maintenance status, and logistics costs.
- Maintenance and Repairs Coordination
- Monitor the condition of all company trucks and maintain updated maintenance records.
- Schedule routine servicing, preventive maintenance, and statutory inspections.
- Follow up on repairs to ensure minimal downtime and timely return of vehicles to operation.
- Liaise with approved workshops and service providers to ensure quality and cost control.
- Driver Supervision and Management
- Supervise company drivers and ensure adherence to company policies and transport procedures.
- Verify drivers’ licenses, certifications, and compliance with regulatory requirements.
- Prepare driver schedules and trip assignments.
- Monitor driver conduct, punctuality, and performance.
- Report and address incidents, accidents, or disciplinary issues in coordination with Management and HR.
