Description
The Office Administrator at Masco Foods Ltd ensures that administrative and clerical operations in the office run smoothly and efficiently. This role supports management, coordinates internal and external communication, helps manage staff and vendor coordination, and guarantees proper documentation and compliance with the company’s standards of operations.
Key Responsibilities
- Maintain and organize both physical and digital filing systems, ensuring accurate records of staff, vendors, contracts, correspondence, and other official documents.
- Support HR and staff-administration tasks: onboarding of new hires, preparing and maintaining employee records, coordinating staff communications.
- Assist management with scheduling meetings, preparing agendas, minutes, internal memos, and basic reports.
- Coordinate with external vendors and service providers (e.g. facility maintenance, supplies, equipment servicing) — important for a company operating many restaurants.
- Liaise with other departments (Operations, Finance, HR, Logistics) to assist in coordination of tasks, delivery of supplies, and office-to-branch communications.
- Assist with bookkeeping support: processing invoices, tracking expenses, preparing expense reports or purchase requests, and coordinating basic accounting paperwork when required.
- Support compliance and regulatory documentation: ensure all internal paperwork is proper and up-to-date (e.g. licensing, health & safety records, vendor contracts, internal policy documents) — relevant for a food & hospitality business.
- Assist in planning and coordinating internal company events or meetings — e.g. training sessions, staff briefings, corporate social responsibility (CSR) activities by Masco Foods / KFC Ghana.
