JOB SUMMARY

The Accounts Officer (Sales & Inventory Control) is responsible for ensuring the accuracy, integrity, and reconciliation of sales and inventory records, particularly relating to cash van operations. The role supports effective financial and stock control by verifying transactions, monitoring variances, and enforcing compliance with established procedures, while working closely with the Sales and Accounts departments.

KEY RESPONSIBILITIES

1. Cash Van Sales Monitoring and Control

• Ensure all cash van sales records are accurately maintained and updated.


• Verify that cash van returns correspond with issued invoices and recorded payments.


• Monitor operations to prevent and detect overages and shortages across all vans.


• Ensure compliance with approved pricing, receipts, and VAT documentation.

2. Reconciliation and Variance Management

• Collate, document, and report all identified variances in cash van sales and stock.


• Facilitate timely adjustments subject to approval by the Head of Department.


• Conduct weekly and monthly stock reconciliations by comparing physical counts with system records.


• Investigate and resolve causes of inventory discrepancies and variances.

3. Order Processing and Documentation Control

• Coordinate with warehouse and sales agents to ensure accurate entry and allocation of orders.


• Confirm that all orders from the cash van team are properly authorized prior to processing.


• Reconcile stock deliveries against orders and raise non-conformity reports where necessary.

4. Inventory Control and Loss Prevention

• Work with warehouse and cash van teams to implement and maintain effective inventory control systems.


• Monitor processes to reduce losses arising from theft, damage, breakage, and obsolescence.


• Ensure adherence to inventory handling and control procedures across operations.

5. Compliance and Reporting

• Enforce adherence to established policies, procedures, and internal controls.


• Maintain accurate records and support audit requirements where necessary.


• Provide regular updates and reports to the Head of Department on stock and sales performance.

6. General Support

• Assist the Head of Department with relevant assignments and operational tasks as required.
