Job Summary:
The Warehouse Officer is responsible for overseeing the day-to-day operations of the warehouse, ensuring the safe and efficient receipt, storage, and distribution of goods. This role requires attention to detail, excellent organizational skills, and a solid understanding of warehouse management systems (WMS) to maintain accurate records, improve warehouse processes, and ensure compliance with safety standards.
Key Responsibilities:
Inventory Management:
- Monitor inventory levels and conduct regular stock checks to ensure accuracy.
- Coordinate stock replenishment and inventory rotation to maintain optimal stock levels.
- Implement and oversee the use of inventory management systems to track incoming and outgoing goods.
- Assist with cycle counting and year-end physical inventory audits.
Receiving and Dispatching Goods:
- Oversee the receipt of goods into the warehouse, ensuring items are inspected for quality, quantity, and condition.
- Organize and supervise the dispatch of products to customers, ensuring timely and accurate deliveries.
- Record all goods received and dispatched and ensure documentation is correctly completed.
Warehouse Organization:
- Ensure that the warehouse is clean, well-organized, and that items are stored in accordance with their size, weight, and requirements.
- Maintain proper labeling and tagging of goods to ensure easy identification and tracking.
- Optimize the layout and flow of goods within the warehouse for maximum efficiency.
Health and Safety Compliance:
- Ensure that warehouse operations are in compliance with all safety standards and regulations.
- Conduct regular safety audits and identify potential hazards.
- Train and supervise staff on safe operating procedures, proper lifting techniques, and the use of warehouse equipment.
- Ensure all safety equipment is well-maintained and available.
Team Supervision:
- Supervise and coordinate warehouse staff to ensure tasks are performed efficiently.
- Provide training and support to new warehouse employees and ensure ongoing development for existing staff.
- Foster a positive working environment and encourage teamwork.
Reporting and Documentation:
- Maintain accurate records of inventory transactions, stock movements, and warehouse activities.
- Generate regular reports on inventory levels, stock movements, and warehouse performance for management review.
- Handle the documentation for goods received and dispatched, ensuring all paperwork is accurate and timely.
Order Fulfillment:
- Collaborate with the sales and distribution teams to ensure accurate and timely order fulfillment.
- Monitor backorder and stock-out situations and inform management of any delays or discrepancies.
Continuous Improvement:
- Identify areas for process improvement and propose solutions to enhance warehouse efficiency.
- Assist in implementing new technologies and systems to streamline warehouse operations.
Qualifications & Skills:
Education:
- High school diploma or equivalent; additional qualifications in warehouse management or logistics is a plus.
Experience:
- Minimum of 2-3 years of experience in a warehouse or logistics environment.
- Prior experience in inventory control, warehouse management, or supply chain operations preferred.
Skills:
- Strong organizational skills with attention to detail.
- Knowledge of warehouse management systems (WMS) and inventory control software.
- Excellent communication and interpersonal skills.
- Ability to supervise and lead a team.
- Familiarity with safety and regulatory compliance in warehouse environments.
