The Field Data Entry Person is responsible for collecting, verifying, and entering accurate data from off-site or remote locations directly into a centralized database or system. This role requires frequent travel to various field sites (e.g., farms, warehouses, retail outlets, community centers, client homes) to gather information via surveys, inspections, inventories, or observations. The ideal candidate is highly mobile, detail-oriented, and comfortable using mobile devices or laptops in non-office environments.
Key Responsibilities
Data Collection (70%)
· Field Visits: Travel to assigned locations daily to collect primary data using paper forms, mobile apps, tablets, or GPS devices.
· Surveys & Interviews: Administer structured questionnaires to individuals, households, or businesses; record responses accurately.
· Inspections & Counts: Perform physical counts of inventory, assets, or people; observe and document conditions (e.g., product quality, facility maintenance).
· Verification: Cross-check collected data against source documents (e.g., receipts, ID cards, delivery notes) to ensure authenticity.
Data Entry & Reporting (20%)
· Timely Entry: Enter collected field data into specified software, spreadsheets, or online databases – often daily or within hours of returning from the field.
· Error Checking: Review entries for completeness, legibility, and consistency; correct mistakes before final submission.
· Uploads & Syncing: Sync offline entries when internet is available; ensure no data loss between field visits and office uploads.
Equipment & Logistics (10%)
· Device Care: Maintain, charge, and secure assigned equipment (tablet, phone, power bank, GPS).
· Supplies Management: Carry sufficient blank forms, pens, clipboards, maps, and identification badges.
· Transport Coordination: Arrange own transport or use company vehicle; log mileage and travel expenses for reimbursement.
Qualifications & Requirements
Education & Experience
· High school diploma or equivalent required; some college or associate degree preferred.
· 1+ year of experience in data entry, field surveying, market research, inventory counting, or a related role.
· Experience using mobile data collection tools (ODK, KoboCollect, CommCare, SurveyCTO, or similar) is a strong plus.
Technical Skills
· Typing speed of at least 40 WPM with high accuracy.
· Proficient in Microsoft Excel (basic formulas, sorting, filtering) or Google Sheets.
· Comfortable using smartphones/tablets, GPS maps (Google Maps, Waze), and cloud uploads.
Key Competencies
· Physical Stamina: Ability to walk, stand, or drive for extended periods (up to 6–8 hours/day) in varied weather.
· Attention to Detail: Avoid transposition errors, skipped questions, or illegible handwriting.
· Time Management: Complete assigned locations within deadlines despite delays (traffic, access issues).
· Interpersonal Skills: Professional and polite when interacting with the public, business owners, or community members.
· Reliability & Integrity: Collect honest data without falsification; maintain confidentiality of sensitive information.
· Problem-Solving: Handle rejected entries, malfunctioning devices, or uncooperative respondents independently.
Working Conditions & Physical Requirements
· Frequent travel – up to 80% of work hours in the field (local or regional).
· Work outdoors, in warehouses, offices, homes, or rural areas with limited amenities.
· May require lifting and carrying a small bag/backpack (up to 15 lbs/7 kg) with equipment.
· Exposure to noise, dust, heat, rain, or cold depending on location and season.
Performance Metrics (KPIs)
· Data accuracy rate ≥ 98% (based on supervisor audits)
· Daily/Weekly target number of completed records or locations
· On-time submission of field data (e.g., by 5 PM each day)
· Zero lost, damaged, or uncharged equipment incidents
· Positive feedback from respondents/supervisors on professionalism
