The Front Desk Executive will serve as the first point of contact for visitors, clients, and employees, ensuring a positive and welcoming experience. Key responsibilities include managing the reception area, greeting and directing visitors, handling incoming calls and inquiries, and maintaining office security protocols. This role also involves coordinating appointments, managing mail and packages, assisting with scheduling, and supporting office administrative tasks as needed. Strong communication, organizational, and interpersonal skills are essential for providing excellent customer service and ensuring a well-organized and professional front desk environment.
Job Roles/Duties
• Serve as the primary point of contact for visitors and clients, providing a professional and welcoming reception experience while maintaining a clean and organized front desk area.
• Manage incoming calls, emails, and inquiries, directing them to the appropriate department or team member and ensuring timely and accurate communication.
• Coordinate appointment scheduling for clients, visitors, and staff, ensuring effective time management and efficient use of meeting spaces.
• Handle the distribution and organization of incoming and outgoing mail, packages, and deliveries, maintaining accurate records for tracking purposes.
• Ensure the security and confidentiality of information at the reception area, enforcing visitor policies and protocols, and maintaining logs for visitor management.
• Provide support for company events, meetings, and training sessions by coordinating logistical arrangements, setting up meeting rooms, and assisting in event preparation.
• Assist the HR and Administrative departments with clerical tasks as needed, including document filing, maintaining employee records, and supporting onboarding processes.
• Communicate regularly with all departments to support a smooth flow of information and ensure all front desk activities align with company standards and protocols.
• Carry out any other duties as required by the Administration Manager or immediate supervisors to support the overall office operations.
